Welcome to the GATE Service - your perspective counts!

Open Science relies on effective and responsible knowledge sharing across education, research, and policy. As research practices, requirements, and technologies evolve, the Open Science community benefits from shared, practice-based insights into how Open Science is communicated and supported in real-world contexts.That’s why we want to know: What are the Open Science guiding thoughts and practices you emphasise in your work?

By contributing your perspective and expertise to the GATE Service, you help generate evidence-based insights into the guiding thoughts and practices shaping Open Science today. This supports shared understanding and capacity building across the research ecosystem.

About the GATE Service

The GATE Service is a key part of the Open Science Learning GATE initiative. Through a short, reflective questionnaire, we collect structured information on which Open Science guiding thoughts and practices knowledge creators address in their materials and outputs.
The resulting insights are aggregated and shared back with the community in a structured and targeted way through notifications and the annual GATE Report.

Within the GATE Service, participants reflect on their own existing materials or outputs as a basis for answering the questionnaire. These may include:

  1. Educational and training materials (e.g. courses, trainings, learning sessions)
  2. Research outputs (e.g. research papers, preprints, articles)
  3. Policy-oriented resources (e.g. policy briefs, statements, recommendations, guidelines, reports)
  4. Communication materials (e.g. leaflets, posters)

 


Who Can Participate?

The GATE Service is open to all Open Science knowledge creators who intentionally develop such materials or content to inform, educate, or guide others’ Open Science practice.
This includes, for example, educators and trainers, researchers and authors, policymakers and funders, speakers, and content developers.

Why participate?

The GATE Service is more than a questionnaire, it’s a real service. By participating, you:

  • receive guidance on updating or optimising your materials for high-quality and long-term use (via the GATE Report)
  • receive recognition as a contributor in the GATE Report
  • enhance the visibility of your materials via the GATE website and/or the GATE Report
  • gain access to the GATE mailing list and an Open Science community of practice

The GATE Service is non-evaluative and does not involve scoring, ranking, or certification.

Why are we processing your personal data?

We process your personal data to help GATE achieve its research objectives. Further information about GATE and the purpose of the data collection can be found here: Purpose of the GATE, Interim Report. Data protection law allows us to use personal data for research related to the GATE with appropriate safeguards in place under the legal basis of the task in the public interest.

 

What data do we collect?

We will only collect personal data that is essential for our research. If you decide to participate in the GATE service, we will collect the following personal data from you and your co-authors:

  • name and email address,
  • country of identification (= country with which you identify)
  • discipline or research field,
  • ORCID iD.

Please note that providing your personal data is not part of a statutory or contractual requirement or obligation. None of your data will be processed by an automated decision-making system without any human involvement, and no profiling will occur.

 

How do we collect your data?

You directly provide GATE most of the data we collect. We collect and process data when you:

  • voluntarily complete the questionnaire.

 

Who do we share your personal data with?

To communicate our research to the public and the academic community, your data (as an author of the educational material) will be published in the annual GATE Report and on GATE Website and is likely to form part of an open data collection, formal project reporting, research publication, conference presentation or public talk. We will not sell your personal data to third parties or transfer any of your data to third countries where the GDPR does not apply.

 

How will we use your data?

GATE collects your data so that we can:

  • inform others that your educational material is part of the GATE, 
  • inform you about changes in the collected data and guiding thoughts on Open Science training over time, and
  • write the annual GATE Report.

 

How do we store your data?

We will store your data on servers located in the European Union.

 

Retention

Your personal data will be stored for the duration of five years. The disclosure about you as author, your co-authors and your educational materials in the GATE Report and Website will only change in certain circumstances, namely when the data status changes, which will be queried on an ongoing basis. The annual GATE Reports and updates will inform participants regarding changes in current acknowledged guiding thoughts and practices. After the publication of the GATE Report, your data will be stored in the research data repository Zenodo for an indefinite period, where it displays the relation to the GATE.

 

What are your data protection rights?

The GDPR grants you the following rights:

  • The Right to be informed – You have the right to be informed. Further information about how we process your data and how it helps GATE to accomplish its objectives can be requested from Marie Alavi (marie.gate@miller.international) and Anika Mueller-Karabil (anika.gate@miller.international).
  • The right to access – You have the right to obtain a copy of your personal data, which entitles you to receive from us:
    • A confirmation that we are processing your personal data
    • A copy of your personal data
    • Other supplementary information on our privacy policy
  • You may request access verbally or in writing.
  • The right to rectification – You have the right to have inaccurate personal data rectified.
  • The right to erasure – You have the right to have your personal data erased under certain conditions.
  • The right to restrict processing – Under certain conditions, you have the right to request us to restrict the processing of your personal data. This right applies if you have contested the accuracy of your personal data and we need to verify the accuracy of the data, if we have processed data unlawfully and you oppose erasure if we no longer need your data but you need it to establish, exercise or defend a legal claim, or if you have objected to the processing of your data, and we are considering whether we have legitimate reasons that override yours.
  • The right to object to processing – You have the right to object to the processing of your personal data under certain conditions.
  • The right to data portability – You have the right to receive the personal data you have provided to us in a structured, commonly used and machine-readable format. You also have the right to request that we transmit your personal data to another data controller, under certain conditions.
  • Right to withdraw consent – You have the right to withdraw your consent for processing your personal data at any time. Your withdrawal will not affect the lawfulness of the processing based on consent before your withdrawal.
